Fleet
Which vehicle is due for what, worked out from the fuel receipts and bills you already record. Services come due by distance, insurance and other renewals by date. No GPS box, no telematics subscription.
You already keep the fuel receipts. The odometer on them is enough to know which vehicle is due for what.
A GPS subscription tells you where every vehicle is, every minute. To know when a vehicle needs its oil changed, you only need to know how far it has gone — and that number is already on the receipts your staff hand in.
Insurance does not care how far a vehicle has gone. It ends on a date. So Opterion-IT counts some services in kilometres and some in days, and puts both on one list in order of what comes first.
Fleet works from the bills you already enter. There is no second place to record fuel or a shop invoice, and nothing extra to post to your books.
One bill from the broker: a line per vehicle, each with the date its policy ends, coded to vehicle insurance. Saving it starts every countdown.
Due by distance, or by date.
Each kind of service is counted the way it actually comes due.
By distance
Oil, tires, brakes — whatever you set up, with its own interval per vehicle. The odometer on each fuel purchase moves every counter, and each one warns in the last fifth of its interval.
By date
Insurance, a lease, a seasonal tire change. The end date is typed from the document when the bill is entered, and it warns 30 days ahead.
One list
Every vehicle and every service on one screen, overdue first. "T-500 km" and "T-23 days" sit in the order they will actually arrive.
Nothing hides
A vehicle with no insurance on file shows red. A vehicle that has stopped reporting still shows, with how old its last reading is.
One bill, every vehicle.
The money stays in Bills. Fleet reads it line by line.
A shop invoice for three vehicles
One bill, a line per vehicle and per job. Each line resets that vehicle's service and codes itself to its GL.
A policy for the whole fleet
A line per vehicle, each with its own end date. A monthly payment on the same policy changes nothing.
Fuel from the phone
Photograph the receipt, pick the vehicle, key the odometer. The office checks the figures against the picture.
Typos caught, not blocked
An odometer that does not fit the vehicle's own history is flagged for a person to look at. Nobody is stranded at a pump.
Every fleet bill goes to your accounting package like any other bill — coded, once, and logged.
Other modules to pair with Fleet
Most purchasing tools show you what is low. Opterion-IT shows you what is low, what a live order needs, why, and by when — in one list, one decision at a time. And the kits you assemble yourself go back on the shelf at what they really cost to build.
